Project Coordinator
DigitalOptometrics, a growing, exciting company in the telehealth field, seeks a Project Coordinator to be a part the Implementation team working remotely.
JOB overview:
The Project Coordinator is responsible for coordinating the end-to-end implementation of our technology platform into client practices. This role serves as the central point of coordination between internal teams and external clients, ensuring implementations are completed on time, on scope, and with a high-quality client experience.
This fully remote position is ideal for someone who is highly organized, detail-oriented, comfortable managing multiple projects simultaneously, and enjoys working cross-functionally in a fast-paced, technology-driven environment.
kEY RESPONSIBILITIES:
Implementation Coordination
- Coordinate all phases of client implementations, from kickoff through go-live and transition to ongoing support.
- Serve as the primary day-to-day point of contact for clients during the implementation phase.
- Develop and manage implementation timelines, milestones, and task tracking.
- Ensure all implementation prerequisites are completed (documentation, system access, hardware/software readiness, training scheduling).
Cross-Functional Collaboration
- Partner with internal teams including Operations, IT, Clinical, Sales, and Customer Support to align implementation activities.
- Escalate risks, delays, or issues proactively and support resolution.
- Track dependencies and ensure handoffs between teams occur smoothly.
Client Communication & Training Support
- Schedule and coordinate client meetings, training sessions, and check-ins.
- Communicate implementation status, next steps, and expectations clearly to Clients.
- Support delivery of client materials and onboarding resources.
- Ensure client questions are addressed promptly and accurately.
Documentation & Reporting
- Maintain accurate implementation documentation, including project plans, notes, and client records.
- Update internal systems (CRM, project management tools, HRIS or platform tools as applicable).
- Track implementation metrics and provide status reports to leadership.
Process Improvement
- Identify recurring implementation challenges and recommend process improvements.
- Contribute to standard operating procedures (SOPs), templates, and best practices.
- Support scaling of implementation processes as the company grows.
QUAlifications & EXPERIENCE:
Required:
- 2-4 years of experience in implementation coordination, project coordination, client onboarding, or operations support.
- Strong organizational and time-management skills with the ability to manage multiple implementations simultaneously.
- Excellent written and verbal communication skills.
- Comfort working with technology platforms, web-based systems, and virtual meeting tools.
- Ability to work cross-functionally and adapt in a fast-paced environment.
- High attention to detail and strong follow-through.
Preferred
- Experience in healthcare, health tech, SaaS, or professional services environments.
- Familiarity with project management tools (e.g. Monday.com).
- Experience supporting client-facing implementations or onboarding processes.
- Basic understanding of clinical workflows, practice operations, or regulated environments.
